Inventory & Stock
A stock ledger that records every movement, values it as it goes, tracks batches and serials to their expiry, and keeps the accounts agreeing with the shelf.
The system says forty and the shelf says thirty-five, nobody knows what the stock is worth, and the only way to find out is to count it again.
What you get
Every movement, in order
Each receipt, sale, transfer and write-off is a line with a running balance, so "what did I have on the 3rd" is a lookup rather than an argument. A back-dated entry replays everything after it, so the history stays correct rather than only the total.
Stock that knows what it is worth
Moving-average valuation on every movement. The cost of an item is one number, and the cost of what you sold is known the moment you sell it. Freight and duty are loaded onto the goods they arrived with, so margins are not overstated.
Batches, serials and expiry
Batch-tracked goods go out oldest-first by expiry, not oldest-first by arrival. Serial numbers are held per unit. Expired stock can be blocked from sale outright, which a pharmacy needs and a hardware shop does not.
Buy in cases, sell in singles
A unit of measure per item with conversions, so a case of 24 received is 24 pieces on the shelf and the rate divides with it. The ledger holds one unit per item, whatever anybody typed.
Receiving, checked and put away
An arrival is what was accepted plus what was rejected, both recorded — the crate is in the building either way. Quality checks against a template, and a suggestion of which shelf it goes on.
Out of the door, with paperwork
Pick lists, delivery notes, packing slips by case, shipments with carrier and AWB, and a van with its drops in route order. Only the delivery note moves stock; the rest are the paper around it.
Told before you are short
Reorder levels per item and shelf, counting what is already on order, raising a material request instead of a surprise.
The books follow the shelf
Switch on perpetual inventory and every movement posts to the ledger, so stock value and the balance sheet cannot drift apart. Landed cost moves into stock value rather than being expensed twice.
Close a period and keep it closed
Snapshot what was held on a date and freeze it, so a filed return cannot be rewritten by a back-dated receipt. Reservations hold stock against an order so two people cannot promise the same last unit.
Nothing is quietly rewritten
The ledger is append-only. A mistake is cancelled and the balances close up, with the original still there to explain. Eight self-checks say when a derived number and the ledger disagree.
